Workflow

From Opportunity to signed Order.Without leaving Salesforce.

Lead-to-Close is the first of Kugamon's five workflows and the one every edition includes: the rep builds a Quote from the Opportunity, configures and prices it from the standard catalog, routes it for approval, sends it as a PDF or a live link the customer accepts online, and marks it Won — which generates the Order that every later workflow runs on.

Lead-to-Close in Kugamon is Opportunity → Quote → Won → Order, with configuration, pricing, approvals, documents and online acceptance happening on native Salesforce records in between. The Quote is disposable. The Order is the record of the sale, and it is the same Order that Lead-to-Bill, Lead-to-Cash, Lead-to-Revenue and Lead-to-Renewal run on.

What happens at each step

Step What the rep does What Kugamon records
Opportunity Works the deal as usual; Account is required Primary Quote and Primary Order lookups; amount and lines sync back if enabled
Quote Generate Quote from the Opportunity, from the Quotes tab, by cloning, or by importing lines Quote record with statuses Draft → Sent → Won / Lost / Cancelled; PDF versions kept
Configure Edit Lines: pick from the catalog, configure kits, bundles and options, group lines Quote lines with pricing source (List, Cost or Manual), line groups, optional lines
Price Tiered and account-specific pricing apply; header or line discounts within policy Net Amount, discount roll-ups, tax and VAT/GST at the header
Approve Route in native approvals or Flow; Restrict for internal review Restricted flag blocks email and order generation until cleared
Send Create PDF, Email PDF, or Email Link for online acceptance Date Sent; accepting Contact and any rejection reason on the Quote
Won Mark Won and Generate Order Order created with lines, contacts, addresses, discounts, tax, comments and terms copied
Order Approve, then Release when it is final Approval creates Assets; Release fires shipments, invoices and — with the add-on — the Contract, Subscriptions and next Renewal Opportunity

Quotes are disposable. Orders are the record.

The distinction runs through everything. A Quote is a what-if: it has no system impact, it is valid with incomplete information, and not every sale requires one. An Opportunity can carry many Quotes; the first is Primary automatically, only one can be Primary at a time, and the Primary Quote drives the Opportunity amount. Quotes are cloned, restricted, versioned and thrown away without consequence.

An Order is the opposite. Every sale requires one, it requires complete data — contacts, addresses — and it is the final record that products, terms and pricing have been agreed. Approving it creates Assets. Releasing it is the single event that fires everything downstream, and un-releasing reverses it cleanly as long as nothing has shipped and no invoice has been posted. Sales, finance and the admin work from the same Order, which is why nothing has to be reconciled later.

Guided selling and configuration

The catalog is the standard Salesforce Product and Price Book, so the rep sees the products the admin maintains, and a 100K-product catalog loads in the Lightning configurator in 3 seconds. Kits and bundles carry required and optional members. Configuration Groups and Options walk the rep through a configurable product, with checkbox shapes showing whether one or several options are allowed. Default, minimum and maximum quantities are set per product. Product comparison lets a rep compare up to four products before adding them; Favorites and Favorite Groups save a line group that closes and share it with the team, with the group's closed-won percentage on hover.

Pricing follows rules the admin set: tiered pricing by slab or volume, account-specific pricing, discount schedules, cost-based pricing with markup, and — where policy allows — a header discount across the quote. Optional Lines appear on the PDF as upsells without adding to the total. Multi-currency and multi-language quoting are included.

Approvals, documents and acceptance

Approvals are Salesforce approvals: native approval processes or Flow with conditional routing on discount, amount, product family or any field you already route on. A Restricted quote can be edited but not emailed or converted, and its PDF carries a watermark, so a rep can keep working while a manager reviews.

Documents come from customizable PDF templates that show products, services, additional charges and credits, optional lines and terms, with comments and specific terms printed when the rep checks the box. Email PDF sends the document from Salesforce. Email Link sends a live Online Quote: the customer opens it, reviews it and clicks Accept or Reject, and Kugamon records who accepted, captures a rejection reason, and creates the Contact if the email is new. The same mechanism exists on the Order, where Accept e-signs the Order and, if the admin has set the button to Accept & Pay, takes payment at the same time.

“If you are looking for a CPQ that is native to Salesforce, generate quotes and orders fast, can handle complex sales structures and is easy to set up and configure then give Kugamon a call!!!”

Won-deal automation

Mark the Quote Won and click Generate Order, and the Order arrives with the Quote's name, lines, buying and shipping contacts, addresses, discount, tax, comments and terms already on it, with Contact Billing pulled from the account's defaults. A Quote can generate one Order or, with Per Line Group, one Order per line group. When an Opportunity goes Closed/Lost, its Draft and Sent Quotes are set to Lost and its Draft and Sent Orders are Cancelled without anyone cleaning up. From there the Order is approved — creating Assets — and released, which is where Lead-to-Bill begins.

When Kugamon is not the right choice

If closing your deals means negotiating the contract itself — clause libraries, redlining, counter-party workflows — Conga's contract lifecycle management is deeper than Kugamon's contract management, and you should evaluate it. If your sales team works across Salesforce, HubSpot and Dynamics, DealHub supports multiple CRMs and Kugamon is Salesforce-only by design. And if you are not sure you need a full CPQ at all, read Do you need a full CPQ? first; the honest answer for some teams is not yet.

For a Salesforce-standardized team that wants the Quote, the approval and the signed Order on native records, the CPQ edition is this workflow at $65 per user per month, and the walkthrough videos show each step in a real org.

Four: from the Opportunity with Generate Quote, from the Quotes tab, by cloning an existing Quote, or by importing lines from a CSV. Quotes can also be started from an Account or Contact when an Opportunity is not required. An Account must be on the Opportunity before a Quote or Order can be generated from it.

A Quote is a disposable what-if: it has no system impact, it is valid with incomplete information, and not every sale needs one. An Order is the record of the sale: every sale has one, it requires complete data such as contacts and addresses, and approving or releasing it creates the downstream records. The common route is Quote to Won to Generate Order.

Email Link sends the customer a live link to the Quote. They review it and click Accept or Reject; the accepting Contact is recorded on the Quote, a rejection reason is captured, and a Contact is created if the email is not found. The same live link exists for Orders, where Accept e-signs the Order and Accept & Pay can take payment on the spot.

In Salesforce — native approval processes or Flow with conditional routing on any field. Marking a Quote Restricted lets it be edited internally but blocks emailing and order generation until it is cleared, and puts a Restricted watermark on the PDF.

When the Opportunity stage is set to Closed/Lost, its Draft and Sent Quotes are set to Lost and its Draft and Sent Orders are Cancelled automatically. Quotes in any other status are left alone.
