Products and pricingStandard Salesforce Products, plus one Additional Product Info record that decides how each one sells.

How a Product or Service is set up in Kugamon, what every Additional Product Info field does, how Kit/Bundles and Configuration Options are built, and how List, Cost, Tiered and Account Pricing decide the Sales Price on a Quote or Order.

Kugamon sells from the standard Salesforce Product object and Price Books. What it adds is one Additional Product Info (API) record per Product, created automatically, that decides whether the item is a Product or a Service, how it is configured and priced, whether it is taxed, shipped or tracked as an Asset, and what prints on the PDF. API here means that record, not a programming interface.

Concepts

A Product is an item for sale not defined by time. A Service is defined by time, with a Start Date and End Date dependent on a Unit of Term. Five questions decide the setup: Product or one-time Service? Trackable or serialized post-sale? Shippable? Standalone or a component? Kit/Bundle or Configuration Options? (Difference between Products and Services)

Creating a Product

  1. Create the Product: from the Products tab click [New], fill in Product Name, leave Active checked (it defaults to checked), and [Save] (Create a Product).
  2. Configure the Additional Product Info record, which Kugamon creates automatically; the field reference below covers every section.
  3. Create a Standard Price for every required currency.
  4. Assign the Product to the appropriate Price Book (Salesforce Products, Price Books, and Price Book Entries Explained).

Product Name and Active are the two key fields; Product Description is for the admins who manage the catalog; the Product Snapshot shows how a Product was configured. Videos: Create a Service, Create a Shippable Product, Create a Non-Shippable Product.

Kit/Bundles

Check Kit/Bundle on the API record, then on the Configuration tab click [Manage Kit/Bundle], [New Group], then [Add Lines] to add Required Members and Other Members, setting whether each Member is Required, its Quantity is Editable, and whether Members print. Kit/Bundle Pricing has three modes: Kit/Bundle Price Only (members at $0), Kit/Bundle + Member Prices (both in the total), and Member Prices Only (bundle at $0). Product Kit/Bundles may contain Products and Services; Service Kit/Bundles can only contain Services (Create a Kit/Bundle).

Configuration Groups and Options

On the Configuration tab click [Manage Configuration] to open the Configuration Setup wizard: add Categories, [New Group] for each Line Group, [Add Lines] for the Options in each Group, and review the Sort Order. Each Group has a Minimum Option and Maximum Option (0 means optional; 1 means at least one; both 1 means exactly one; blank Maximum means no limit). Each Option has a Selection Behavior (Unselected, Selected, or Required), a Quantity Behavior (Bundled multiplies by the configured Product quantity and locks; Defined locks a fixed value; Related allows edits) and a Price Behavior (Included sets $0 and locks; Discounted applies a Line Discount or Price Discount; Related allows edits). Field reference: Additional Product Info

Field What it does
Product Name, Product Code, Product Family, Product Description, Active Copied from and kept in sync with the Product record.
Pricing Method Blank or List: Sales Price from List Price. Cost: Sales Price from Product Cost plus markup.
Default Cost Markup Percent Initial markup on Quote and Order Lines when Pricing Method is Cost; needs an active Product Cost record.
Configuration Method Kit/Bundle, Configuration Options, or Blank/None (uses Kit/Bundle).
Configuration Type Required (must configure), Allowed, Disabled, or Blank/None (Disabled).
Configuration Action Where configuration appears: Always, Add (Add Lines only), Edit (Edit Lines only), or Blank/None (Always). Disabled pairs with Always only.
Configuration Instructions Text shown in the configurator for Kit/Bundle and Configured Products.
Lock Quantity, Default Quantity, Minimum Quantity, Maximum Quantity, Quantity Scale Quantity controls in the configurator; Default Quantity is 1 if blank; Quantity Scale sets decimal precision (Product Quantity Configuration).
Lock Line Description, Default Line Description, Lock Line Discount, Default Line Discount Prevent edits to, and preset, the Line Description and the Line Discount.
Hide Removes the Product from Product Selection so no new sales occur while existing sales continue.
Lock Sales Price, Edit List Price Prevent Sales Price edits; allow List Price edits in the Expanded Mode of Edit Lines.
Lock Service Term, Edit Service Term Behavior Prevent Service Term edits; allow Service Term Behavior edits in Edit Lines.
Edit Product Name, Edit Unit Cost Allow users to edit the Product Name and Unit Cost in the configurator.
Prohibit Opportunity Sync Stops this Product syncing to Opportunity Products from a Primary Quote or Order.
Non-Stock Whether the Product is stocked.
Disable Shipments No Shipment record is created for this Product on Order Release.
Quantity Unit of Measure Shown in the quantity column on external documents.
Create Asset Per Line (one Asset per Product Line) or Per Quantity (one per unit) (Per Line, Per Quantity).
Available to Promise Lead Time Days added to Date Required to give Date Available to Promise on Orders.
Service, Default Service Term, Service Term Scale, Unit of Term Service adds a Term and changes pricing to Price × Quantity × Term; the default term; decimal support (None, 1, 2, 3, 4); Second through Quarter, typically Month.
Excise, Sales, Usage, VAT/GST The tax types applied when the Account is taxable; the VAT/GST rate field sets the rate.
Specific Terms Product-specific Terms & Conditions printed on Quote and Order documents, once per Product.
Kit/Bundle, Kit/Bundle Pricing, Print Kit/Bundle Members Enables the bundle; the pricing mode; whether members print on the PDF.
Renewable, Uplift Renewal Price, Renewal Product, Create Subscription (kuga_sub) Adds the Product to the Renewal Opportunity and Order; applies the uplift on renewal; renews with a different Product; creates a Subscription for a Service (Renew with a Different Product, Enable Price Uplift).

Active flags and what they gate

Products have no status field; these switches decide whether an item can be sold and which price applies.

Pricing methods

Cost-based. Set Pricing Method to Cost and optionally a Default Cost Markup Percent. On the Configuration tab, in Product Cost, click [New], enter the Unit Cost, check Active and [Save]. In Edit Lines, changing Markup Amount or Markup Percent recalculates the other (Product Cost).

Tiered. From the Product's Tiered Pricing related list click [New], name it, pick a Price Book and a Type, add tiers with [+] (Quantity and Discount (%), which calculates the Tier Price), [Save All Tiers], then [Activate]. Volume uses the matching tier's Tier Price for the whole Quantity; Slab prices across all Tier Prices at and below the Quantity; blank Type behaves as Volume. [+] also adds Tiers by Term. List Pricing Method only (Tiered Pricing (Admin), Setup Volume Tiered Pricing for Products, Setup Slab Tiered Pricing for Services).

Account Pricing honors pre-negotiated rates without extra Price Books, in four combinations: a specific Product/Service or a Filter, with a Price or a Discount. Fields: Account; Product/Service (the Filter is ignored when it is filled); Price or Discount; Filter Object, Filter Field, Filter Operator, Filter Value; Lock Sales Price, Lock Line Discount and Hide, which override the Product's values; Date Start, Date End; Contract. With multi-currency, create one record per currency.

Order Type Applies when
1 Included Price Configuration Option Price Behavior is Included, or Kit/Bundle Pricing results in Included ($0).
2 Cost Price Pricing Method is Cost. Account Pricing does not apply.
3 Purchase Price An Asset or Subscription is present, with the same Contract Number if the Subscription add-on is installed.
4 Account Price Account Pricing is Active, currency matches, and the AAI Ignore Parent Account Pricing is unchecked for parent pricing. Account beats Parent Account; Product/Service match beats Filter; then latest Last Modified Date.
5 Option Price Configuration Option Price Behavior is Discounted and Account Pricing does not apply.
6 Tier Price Tiered Pricing is Active and the Price Book matches.
7 List Price The Price Book Entry Unit Price, when nothing above applies.

Included, Cost and Purchase Price overrule Account Pricing (Hierarchy of Pricing Types). Edit List Price on the API record lets a user change the List Price in the Expanded Mode of Edit Lines (Edit List Price). Pricing Guidance charts the Effective Price (Sales Price after Header and Line discounts) from the last 6 months of Approved and Released Orders on Price History, Price Fit and Price Distribution tabs; it needs ample data and is not available on Cancelled Quotes or on Approved, Released or Cancelled Orders (Pricing Guidance).

Common tasks

  • Decimal precision — Quantity Scale and Service Term Scale set it; it cannot be changed inside Add Lines or Edit Lines.
  • Service Term Behavior — with Edit Service Term Behavior checked, None or Included factors Term into the Service Amount and Invoice Schedule; Excluded prices independently of Term and the Service behaves like a Product (Service Term Behavior, Service Term Calculation).
  • Product Catalogs — in [Configuration Settings] move Add Lines to Available and [Save & Close]; in Product Management open Product Catalogs → [New]; [Manage Catalog] to add Categories and [Add Lines] per Category; then enable Override Configuration Settings and [Save & Close]. Active Product Catalogs must exist for the selection popup to appear (Setup Product Catalogs).
  • Favorites — reps click the heart in the configurator; Favorite Members must be created there, not with Data Loader. Clean up an inactive user's favorites from a List View on the Favorites tab; admins share Favorite Groups with [Share Favorite] (Share Favorite Groups (Admin)).
  • Tiered price not applying — the Product uses the Cost Pricing Method, the schedule is not Active, or the Quote uses a different Price Book.
  • Retiring a Product — check Hide on its API record rather than deactivating it, so existing sales keep working.

A Product is an item for sale not defined by time. A Service is defined by time, with a Start Date and End Date that depend on a Unit of Term, and checking the Service checkbox changes the pricing convention from Price times Quantity to Price times Quantity times Term. Then ask whether it is trackable or serialized post-sale, shippable, standalone or a component, and whether it is a Kit/Bundle or needs Configuration Options.

No. It is created automatically when a Kugamon-licensed user creates or edits the Product, and only one is allowed per Product. Active, Product Name, Product Code, Product Family, Product Description and Quantity Unit of Measure stay in two-way sync between the two records.

Volume uses the Tier Price of the tier the Quantity falls into as the Sales Price for the whole Quantity. Slab prices the Quantity across all Tier Prices at and below it. Both apply only to the List Pricing Method, and only one Tiered Pricing schedule can be Active per Price Book.

Account Pricing applies to List-based pricing only, and it sits below Included, Cost and Purchase Price in the hierarchy, so a Cost-priced Product, an Included component or a line matched to an existing Asset or Subscription ignores it. It also has to be Active, within Date Start and Date End, and in the same currency as the Quote or Order; with multi-currency, create one Account Pricing record per currency.

Tax needs three levels: a Tax Location in Kugamon Settings, that Tax Location on the Account's Additional Account Info record, and the tax checkboxes (Excise, Sales, Usage or VAT/GST) on the Additional Product Info record. Both the Product and the Account must be marked Taxable.
